1Who we are
Recore Tech ("we", "us", "our") provides technology sales, internet packages, device and printer rentals, device repairs, remote and on-site IT support, and business service level agreements in South Africa.
This policy explains how we collect, use, store, share and protect your personal information across everything we operate: this website, the Recore Tech mobile and desktop apps, the client portal, our online store, our WhatsApp business line, our support email addresses, and our in-app voice, video and remote support tools.
We process personal information in line with the Protection of Personal Information Act, 2013 (POPIA), and the Electronic Communications and Transactions Act, 2002 (ECTA).
2Information you give us
Depending on which parts of the app you use, we collect the following directly from you:
- Account and profile: display name, email address, phone number, profile photo, company name, job title, department, physical, delivery and billing addresses, and a customer reference we generate for you.
- Identity and contracting details: ID or company registration number, VAT number, signatory name, typed or drawn electronic signature, and uploaded ID documents — collected only where a rental, internet or SLA contract legally requires it.
- Device registry: device type, brand, model, serial number, IMEI, operating system, hardware specifications, condition notes, warranty dates, photos of your device, and any device access password you choose to give us so we can complete a repair.
- Repairs and bookings: fault descriptions, accessories handed in, urgency, technician notes, diagnostic findings, repair progress and collection records.
- Meetings and appointments: requested date and time, meeting type, agenda notes, on-site address, and whether the session is remote or in person.
- Purchases and billing: order contents, quotations, invoices, credit notes, statements, refund and warranty claims, wallet top-ups and loyalty balances, delivery addresses and payment references.
- Internet and rentals: installation address and coverage location, chosen package or rental plan, router selection, contract term and deposit details.
- Support conversations: messages, files, photos and voice notes you send through in-app chat, email, WhatsApp or the public contact and support forms.
- Employment records (staff only): if you are a Recore Tech employee, we hold your employment, banking, tax, leave, loan and payslip information for payroll purposes.
3Information we collect automatically
- Device and technical data: device model, operating system, app version, browser type, IP address, language and timezone.
- Usage analytics: pages and modules you open, features you use, and aggregated website search and traffic statistics, used to improve the product.
- Notification identifiers: push notification tokens for each browser or device on which you enable notifications.
- Presence and session data: when you were last active, so support agents can see whether you are online, and connection details needed to route a call.
- Email engagement: whether a marketing email we sent you was opened or a link clicked, and whether you unsubscribed.
- Cookies and local storage: used to keep you signed in, remember your preferences (theme, sound, drafts, cart contents) and keep the app working offline. We do not use third-party advertising cookies.
4Why we process your information
- To create and secure your account, verify who you are, and enforce role-based access to the portal.
- To deliver the services you ask for — repairs, rentals, internet installations, subscriptions, SLAs, meetings, purchases and deliveries.
- To generate and send the documents your service creates: quotations, invoices, statements, delivery notes, damage reports, warranty records and signed contracts.
- To keep you updated through in-app notifications, email, push notifications and WhatsApp about tickets, repair progress, bookings, appointment reminders, order status and payments due.
- To provide voice, video and remote support sessions, and to keep records of calls, voicemails and missed calls for follow-up and quality purposes.
- To take payment, recover amounts owed, and meet our tax, accounting and audit obligations.
- To detect and prevent fraud, abuse and unauthorised access, and to keep our systems secure.
- To send you marketing about our products, promotions and services where you have opted in — you can opt out at any time.
- To improve the product using aggregated, de-identified usage insights.
5Chats, calls and recordings
Support conversations are stored against your ticket so any agent who helps you has the full history. When a ticket is closed we save a transcript of the conversation to our records.
In-app voice and video calls create a call record (participants, time, duration and outcome). Where a call is recorded or a voicemail is left, the audio is stored and accessible to our support and admin staff. Voicemails you record are kept until the enquiry is resolved.
Missed calls generate a callback task so we can return your call.
6Remote support and screen sharing
Remote support lets an authorised Recore Tech agent view your screen and, where you allow it, control your device to fix a problem.
A session can only start after you have granted remote support consent, and you can end any session immediately from your side. If you enable unattended access, sessions may start without a per-session prompt — you can withdraw that setting at any time in your notification and privacy settings.
We do not browse your personal files during a session beyond what is needed for the fault you reported.
7WhatsApp communications
If you message our WhatsApp business number, we receive your WhatsApp phone number, your WhatsApp profile name and the content of your messages, and we store them against a support ticket in the portal.
We use WhatsApp to answer your enquiries and to send service messages such as booking confirmations, repair progress updates, meeting reminders and follow-ups on inactive conversations. Where we cannot match your number to an existing account we may invite you to register or link the number to your profile.
Message delivery is carried out by WhatsApp (Meta Platforms) and is subject to their own privacy terms. You can ask us to stop contacting you on WhatsApp at any time by replying in the conversation or emailing us.
8Notifications and marketing
Service notifications (ticket updates, bookings, invoices, appointment reminders) form part of the service and are sent while you hold an account. You control the channel mix — email, in-app bell and push — per module in your notification settings.
Marketing emails, promotional pushes and announcements are only sent where you have opted in, and every marketing email carries an unsubscribe link. Unsubscribing from marketing does not stop essential service messages.
9Organisations and business accounts
If your account is linked to an organisation with a service agreement, the organisation administrator can see the service activity, bookings, meetings, tickets, agreements and billing records belonging to that organisation, and may receive monthly activity statements. Where organisation-level purchase controls are enabled, the administrator approves purchases made under the account.
We may link your account to an organisation automatically where you register with that organisation's email domain.
10Payments
Card and gateway payments are handled by our payment providers. We receive confirmation of the transaction, the amount and a reference — we do not store your full card number.
Wallet balances, loyalty credits, refunds and account statements are maintained inside the portal and linked to your account.
11Documents and uploaded files
Files you upload — ID documents, proof of payment, photos of a device, signed contracts and supporting attachments — are stored securely against the record they belong to. Documents generated for you (contracts, invoices, reports) are filed to your document library so you can download them again.
Private files are served through expiring, signed links rather than public URLs.
12Who we share information with
We do not sell your personal information. We share it only where necessary, with:
- Hosting, database and storage providers that run the platform.
- Email and messaging providers, including Google (Gmail) for email and WhatsApp/Meta for WhatsApp messages.
- Push notification infrastructure (Google Firebase) to deliver notifications to your devices.
- Payment processors and, where applicable, our bank for EFT reconciliation.
- Delivery and courier partners for orders you have placed.
- Internet network and fibre operators, where a coverage check or installation requires your address.
- Google Workspace services we use for calendar, sheet, drive and task synchronisation in our internal workflow.
- Professional advisors, auditors and regulators where required, or where we must comply with the law, enforce our terms, or protect our rights, property or safety.
13Cross-border transfers
Some of our service providers process data on servers outside South Africa. Where information leaves the country, we only use providers that offer a comparable level of protection to POPIA and that are contractually bound to protect your information.
14Security
- Access to records is restricted by role-based permissions and row-level security, so clients see only their own data and staff see only what their role requires.
- Data is transmitted over encrypted connections, and credentials and API keys are held in a managed secrets store — never in application code.
- Administrative and destructive actions are logged to an audit trail.
- Public endpoints are rate limited to protect against abuse.
- Device passwords you give us for a repair are used only to complete that repair and should be changed once the work is done.
15How long we keep your information
- Account and service records: for as long as your account is active.
- Financial records (invoices, payments, payroll): at least five years, as required by South African tax law.
- Support conversations and transcripts: retained while the account is active so history is available to you and to our agents.
- Call recordings and voicemails: kept only as long as needed for the enquiry, quality assurance or a dispute.
- Marketing engagement data: until you unsubscribe or ask us to erase it.
- Signed contracts: for the contract term and the retention period the law requires afterwards.
16Your rights
Under POPIA you may ask us to confirm what personal information we hold about you, give you access to it, correct or update it, delete information we no longer need, restrict or object to certain processing, and withdraw consent to marketing or remote support.
Many details you can manage yourself in the portal: update your profile, change notification and sound preferences, withdraw remote support consent, download your documents, or request deletion of your account.
To make a request, contact us using the details below. We will respond within a reasonable time and may need to verify your identity first. You also have the right to complain to the Information Regulator of South Africa.
17Children
Our services are intended for people aged 18 and over, or for minors acting with the consent of a parent or guardian. We do not knowingly collect information from children without that consent, and will delete it if we discover we have.
18Changes to this policy
We may update this policy as our services change. The date at the top of this page shows when it was last revised, and we will tell you in the app or by email about material changes.
